Job Purpose:  

The Scheduler / Dispatcher will provide product/services information with accuracy and efficiency.  Schedules service calls, resolve customer complaints, via phone, email, mail. Use telephones to reach out to customers and verify account information. Greet customers warmly and ascertain problem or reason for calling.

ESSENTIAL DUTIES

Scheduler / Dispatcher:

  • Answers phones, schedules appointments based on availability of service professionals, severity of call, existing customer status.
  • Call clients to confirm when service professional is in route.
  • Dispatches jobs to available service professionals.
  • Reviews abandoned calls. Selects calls from dashboard, listens to call taker, determines if call is a potential job or needs to be excused.
  • Perform follow up calls on all dispatched jobs.
  • Respond to all Listen360 responses quickly.
  • Confirm invoices have been opened in email and mail invoices to those who request.
  • Sign and mail out thank you cards to all completed jobs.
  • Coordinate all Permits, Power Disconnects, and Inspections.
  • Coordinating financing and collecting payments when necessary.

Accounts Receivable

  • Create weekly A/R report from Service Titan system for office manager.
  • Follow-up with customers that have not paid invoices, and notate actions in Service Titan.

Administrative

  • Handle confidential and non-routine information
  • Complete all paperwork in a neat, accurate, thorough, and timely manner
  • Answer telephone and retrieve, respond to, and from “virtual answering service” calls.
  • Attend and participate in meetings, as required.
  • Contribute to team effort by accomplishing other duties as needed
  • Coordinate paper supplies and printing of forms. 

Communication:

  • Communicate with co-workers, clients, vendors, and others in a courteous and professional manner
  • Keep management informed of activities and notify of any significant problems

QUALIFICATIONS

Education/Experience

  • Proficient user of Microsoft Office Suite (Word, Excel, Outlook)
  • Scheduling experience is helpful

Knowledge

The incumbent should have proficient knowledge in the following areas:

  • Knowledge of office administration and procedures
  • Use problem-solving skills to deal with issues as they arise

Hours

Regular Mr. Electric hours are 8:30 a.m. - 5:30 p.m. Monday-Friday, however, additional hours may be required on occasion.

Regular and punctual attendance is required.
